Step 1: write a proper list
Each line needs: material, grade, brand or equivalent, thickness, sheet size and quantity. "100 sheets plywood" is not a list.
Step 2: decide what you can compromise on
If a brand is not available, will you accept an equivalent? If a thickness is short, can you substitute? Say so up front, to avoid delays.
Step 3: ask for quotes on the same basis

Step 4: plan delivery
Material needs somewhere dry to be stored. Plan staged deliveries if space is short. Stack plywood flat on a level base, off the floor, and cover it.
Step 5: check at delivery
- Count sheets
- Check brand and grade markings against the order
- Measure thickness on a sample
- Look for edge damage and warping
- Note any problem on the delivery receipt before signing
